Outer Banks Rental Check In & Out

Check Out / Evacuations Information

CHECK-OUT PROCEDURES

  • Check-out is at 10am on the morning of your departure date (noon if late check-out was arranged.)  In a hurry?  We can clean up for you!  Call our office before your check-out day for departure clean prices.
  • Wash and put away any used dishes, silverware or cookware (please do not leave in dishwasher.)
  • Empty refrigerator(s) of ALL food.
  • Leave linens, including bedspreads, sheets, pillowcases and bath towels at the foot of the bed.
  • Check closets, cabinets and drawers thoroughly to prevent items from being accidently left behind.
  • Lock all windows, doors and close blinds.
  • Clean grill and remove ashes, if necessary.
  • Pick up any trash, cigarette butts or dog waste left outside, if necessary.
  • Take out all trash and place in outside trash receptacles (or dumpsters at the end of the road, if applicable.)  Take the outside trash receptacles to the road on garbage pick-up days.
  • Leftover, non-perishable food items can be dropped off at the office to be donated to the local food bank.

ITEMS LEFT BEHIND

Please be sure to check your rental home thoroughly before you leave.  Stan White Realty cannot be held responsible fore items left behind.  However, we will hold all found items for ten days (unclaimed items after this time period will be donated to local charity.)  If notified that items were left behind, we will try and locate your lost items for you.  They can be shipped via Fed Ex, UPS, or DHL.  Guest to pay associated shipping costs and a $25 charge to Agent for handling, as well as arrange for pick-up.
 
TRAVEL INTERRUPTION INSURANCE

If you purchased optional travel insurance and need to file a claim, please follow these initial instructions.  If you have any questions or concerns regarding your policy, please contact Red Sky Insurance Company at 1-866-889-7409.
Trip Interruption or Delay:  IMMEDIATELY notify your management company and obtain a claim form or visit www.suntrippreserver.com, which will provide all the details required for filling out your claim.
Accident / Sickness Medical Expenses:  Obtain form at www.suntrippreserver.com, which will provide all the details required for filling out your claim appropriately. 
Baggage Expense:   Obtain form at www.suntrippreserver.com, which will provide all the details required for filling out your claim appropriately. 
 
EVACUATIONS

Hurricane season begins June 1st and ends November 30th.  A Hurricane Watch means that a hurricane may threaten an area within 24-36 hours.  A Hurricane Warning means that a hurricane is expected to affect the area within 24 hours.  Be prepared in case of a Hurricane evacuation:

  • Know the evacuation routes ahead of time: Hwy 64 West and Hwy 158 West
  • As a hurricane moves closer to our area, begin monitoring the weather reports every hour on local radio and television stations, as well as checking www.noaa.gov
  • Don’t get caught by surprise.  Before the evacuation goes into effect, put fuel in all vehicles, fill prescriptions and withdraw cash from the bank in case of power loss.  If necessary, make hotel reservations somewhere inland or along the way home.                                                             
  • Mandatory Evacuation Procedures for Stan White Realty
  • If a mandatory evacuation order is issued for Dare or Currituck County, guests must leave immediately.  The longer you wait ~ the worse traffic will become.  There is a possibility of getting “trapped” on the island if you wait too long to evacuate.  There are NO shelters in Dare County, Currituck County or Hyde County.  All visitors must leave before county residents can be evacuated.
  • We will first call all our guests who are currently staying in our rentals, followed by all guests who were scheduled to check-in on the next turn day to advise them of the situation.
  • Pack up all of your belongings.  Don’t leave anything behind, even if there is a chance you might be able to return to your vacation rental after the evacuation order has been lifted.  Please either take all food with you, or throw away before you check out.  DO NOT LEAVE FOOD IN THE HOUSE.  Non-perishable items can be dropped off at the office building to be donated to the local food bank if you don’t want to transport canned goods.
  • Depending on the duration of the storm and severity of damage, you may or may not be able to return for the remainder of your vacation.  Even after the mandatory evacuation order for visitors has been lifted, please call our office before returning to your vacation rental to make sure it is safe for occupancy. 
  • If you encounter deep standing water or flooded streets, PROCEED WITH CAUTION.  Many areas experience flash flood conditions during hurricanes, Nor’Easters and summer squalls, often causing the roadways to become deep with standing water.  Please maintain a safe following distance at a pace that doesn’t create a wake behind you.  It is advised that you refrain from driving through deep waters to avoid vehicle damage caused by salt water. 
  • Keep in mind that only guests who purchased the Trip Interruption Insurance in advance will be reimbursed for any lost rent due to a mandatory hurricane evacuation or storm damage.  Travelers Insurance purchased after a storm has been named WILL NOT cover any lost rent due to said storm.  Travelers Insurance ONLY offers coverage for MANDATORY evacuations, not voluntary evacuations or other cases of inclement weather.

NOTE: Failure to follow check-out procedures or otherwise leave the property in its original condition may result in charges to your credit card. Be sure to report all accidental damage to the office immediately in order to avoid these charges.
